Privacy Statement

We care about your privacy. We will take reasonable steps to keep your personal information safe, correct, and up to date.

What personal information do we collect?

We may collect your:

  • Name
  • Address
  • Date of birth
  • Email address
  • Phone number.

We may also collect information about your:

  • Education
  • Work history
  • Next of kin and/or emergency contacts.

Sometimes we may need “sensitive” information, like:

  • Your background (ethnic or racial)
  • Criminal history
  • Health or disability information
  • Legal documents such as court orders.

We only collect this if it helps us keep you safe or helps you take part in our programs. We will ask for your permission unless the law says otherwise.

We will keep this information secure.

We may collect identity documents and/or ID numbers to confirm who you are, such as:

  • Student numbers, including Unique Student Identifiers (USIs) and Victorian Student Numbers (VSNs)
  • Pension or concession details
  • Birth certificate
  • Passport and/or visa
  • Medicare card
  • Driver’s licence
  • Tax file number (for employees).

Do you have to give us your information?

No, you don’t have to.

But if you don’t, we might not be able to:

  • Give you the services or programs you want
  • Give you information you need
  • Employ you
  • Make our website work well for you.

We sometimes collect information that does not identify you, like answers to surveys.

How do we collect your personal information?

We may collect personal information when you:
  • Talk to us on the phone
  • Visit us in person
  • Use our website
  • Email us
  • Fill in surveys
  • Come to our events
  • Join our mailing list
  • Apply for a job or volunteer role
  • Enrol in a program or service
  • Buy from PageTurners
  • Hire a venue from us.
If you are under 18, a parent or guardian must agree before you give us your information.

Video surveillance / closed circuit television (CCTV)

Some areas at Prace have security cameras for safety.

We only use the videos for safety unless the law says otherwise.

Cameras may be at entrances, corridors, car parks, and shared areas, both indoors and outdoors.

Collecting personal information from third parties

Sometimes we get information about you from:

  • Community services
  • Police
  • Government departments.

This helps us:

  • Check if you can study with us
  • Check if you can work with us
  • Give you extra help if needed.

We only collect this information if:

  • You agree
  • You would expect us to
  • The law allows it
  • It is needed to keep someone safe.

Prace College may share information to protect children, as allowed by law.

How do we use your personal information?

We use your information to:

  • Answer your questions
  • Provide programs and services
  • Personalise your experience
  • Run our business
  • Improve our services
  • Keep our records up to date
  • Handle complaints
  • Follow the law
  • Keep our buildings safe (including CCTV).

We will not sell or rent your information.

We may ask for your permission to use photos, videos, or audio recordings of you. You can say no.

Who do we share your information with?

  • Government agencies (if required)
  • Our staff, contractors, or service providers (e.g., IT, couriers, payment processors)
  • Organisations we work with
  • Other approved services that help keep students safe (for Prace College students).

We only share information:

  • For the reason it was collected
  • For a similar reason you would expect
  • If the law requires it
  • If you agree.

Sending personal information outside of Victoria

Some of our service providers may be outside of Victoria or keep their data outside of Victoria.  This may include locations outside of Australia / overseas.

We will only send your information if:

  • You agree, or
  • The overseas organisation (if applicable) is required to follow privacy laws similar to Australia’s, or
  • The law requires it.

How do we protect your personal information?

We keep your information safe by:

  • Keeping our buildings and records secure
  • Limiting who can access your information
  • Using technology like passwords and security software.

No online system is 100% safe, so anything you send online is at your own risk.

Using our website

Cookies

We use “cookies” to improve your experience.

You can turn off cookies in your browser, but some website features may not work.

Website analytics

We use Google Analytics to understand how people use our website.

Marketing messages

If you agree, we may send you emails, texts, or letters about our programs and events.

You can stop these messages anytime by clicking “unsubscribe” or contacting us.

PageTurners website

If you buy things on the  PageTurners website, we use your information to process your order.

Payments go through PayPal — we do not see or keep your card details.

If you create an account on the PageTurners website, we will keep your information for future orders.

How long we keep your information

We only keep your information as long as needed or as required by law.

When we no longer need it, we delete it or destroy it safely.

How to access and correct your personal information

You can ask to see your information or ask us to correct it.

We may refuse, but only if the law allows it.  If we refuse, we will tell you why.

We usually respond to requests within 10 business days.

Our websites may link to other websites.

We are not responsible for those sites.

We may ask for proof of identity.
